responsibilities
Your responsibilities cover the following aspects in the management of Luxembourg-based companies:
Coordinating daily administrative and legal formalities for diverse and complex client portfolios, including regulated and unregulated real estate and corporate entities, investment funds, trusts, and companies.
Managing incoming and outgoing correspondence, ensuring efficient collection and distribution.
Creating, updating, and managing the client information database to ensure accuracy and completeness.
Handling procedures related to bank account openings, acquisitions, board resolutions, official publications, and filings with the RCS, RBE, and LNIN, as well as managing notarial and private deeds, company incorporations, and liquidations.
Assisting with the registration and renewal of Legal Entity Identifier (LEI) codes.
Organizing client company documentation, both electronically and physically, ensuring proper archiving of original documents at the registered office.
Setting up and maintaining compliance and legal files in line with regulatory requirements.
Preparing payment instructions and liaising with banking partners.
Supporting the corporate team with the day-to-day management of client files and assisting the onboarding team with AML/KYC processes.
qualifications
Your profile:
Diploma in secretarial studies – law studies
2-3 years of professional experience in a similar role.
Excellent written and verbal French communication skills.
Fluent in English. Additional languages being an advantage.
Strong interpersonal skills (courtesy, discretion) and ease in communication (interpersonal and telephone)
Proactive and initiative-driven
High level of autonomy
Organized and methodical approach
Excellent command of MS Office (Word, Excel, PowerPoint, Outlook)
Knowledge of Docusign
Effective task prioritization and workload management
